Document Storage/Exchange

Industry Code: 52705

Compulsory

This industry includes businesses providing data and information storage services to companies such as law firms, accounting firms, and oil companies. The data and information stored includes but is not limited to; accounting records, computer tapes, maps, and rock samples.

Operation Details:

Data and information requiring storage is stored in a warehouse and indexed to allow for quick access to the data. This information is either delivered by the client or a pick up service may be offered by the storage company. A client wishing to see stored data contacts the storage company and the required data is retrieved. The client may either pick-up the data or a delivery service may be offered by the storage company. Companies within this industry may also convert hard copy documents into electronic documents by scanning the documents and placing these on CD's. This is done to reduce storage costs as well as provide quick access to the documents.

Document exchange centres are facilities where businesses such as law firms, charter accountant firms, banks, and trust companies exchange correspondence and/or business documents. Each subscriber has a security box where other subscribers can deposit documents. The advantage to this service is that subscribers can handle their business documents expediently by picking up and delivering them at the same location. These exchange centres employ staff which are present at all times to look after the facility; these staff do not handle any of the documents brought in by the subscribers.

This industry includes businesses that process and clean computer and magnetic tapes. The tapes are cleaned by a machine similar to a reel to reel tape recorder, where the tape passes over cotton cleaning pads. The tapes are put through a test to ensure the tapes were cleaned properly.

This industry includes businesses that process tapes for seismic recording instruments. These tapes, which are shipped in unmagnetized from the US, are thicker than ordinary tape recorder tapes (i.e. around 1/2 or 1 inches in width). The process involved to prepare these tapes for sale to the oil companies include:
- cutting the tapes to a specified length,
- magnetizing the tapes by feeding the tapes through a machine with a magnetic coil,
- winding up the tapes on reels, and
- packaging the reels in plastic bags.

Underwriting Considerations:

Businesses operating a "data warehouse" are classified in this industry. "Data warehousing" is the maintenance and storage of data in a computer system, to allow their clients quick access to information.

This industry also includes businesses that convert hard copy material to electronic copy, the information is then stored on a compact disc. This service may be provided in addition to the storage of the CD's. Information is stored this way to reduce overhead storage costs and provide quick access to the information if requested by the owner. Businesses of this nature do not do any data processing or manipulation on behalf of the client.
